Create operators and permissions

Create POS access group

POS access group is a connection hub of allowed operations that can then be associated with a POS access unit. To create a new POS access group, click SETUP > STORE PERMISSION GROUPS and view the lower part of the screen labelled POS ACCESS GROUPS.

When the first store is created, one default POS access group "All POS access" has been created, with all permissions (except workstation login). It is goo practice to create at least one additional access group with operations limited to cashier operations.

There are three ways to create a new group:

  • Click New pos access group to create an empty group with no operations allowed.

  • Click Create restricted operator access group, to create a group with limited number of allowed operations; only operations to perform basic sales.

  • Click Create store-manager operator access group, to create a group with manager privileges.

Create an operator

  1. Click Setup > OPERATORS

  2. Click New POS operator

  3. Click Change ID to provide a user ID.

  4. Change the default name POS operator, to the name of the operator as it should appear in Centara.

  5. Add the Login property

    1. Click Set password

    2. Choose a password and Confirm

  6. Optionally assign values for maximum discount.

  7. Publish changes.

Create a POS access

The POS access unit is the central hub that joins together permissions (assigned to store permission groups) and operators and are then connected to the store those operators should operate in.

To create a new POS access, click SETUP > STORE PERMISSION GROUPS and view the upper part of the screen labelled POS ACCESS.

  1. Click New pos access.

  2. Associate the POS access to the desired POS access group by clicking the arrows to the left of the group name.

  3. There are two ways to associate operator to a POS access:

    1. Click the arrow to left of some existing operator

    2. Click New POS operator, to both create a new operator and associate that operator to the POS access. Note that this will create an empty operator that needs to be configured later.

Assign POS access to store

In order to realize operator permissions on a store, a fully configured POS access must be associated with that store.

  1. Go to a store.

  2. Click the arrow to the left of an existing POS access.

Giving an individual operator permissions to a single store like this is practical to get started but impractical in real world situations. The number of stores and operator fluidity supported by Centara calls for more powerful tools.

It's recommended to assign Operator groups to stores or Store groups depending on your organization setup.
